Neighborly Circle ("we," "us," or "our") is operated by Arch Metrics, LLC. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform.

By using Neighborly Circle, you consent to the practices described in this policy.

1. Information We Collect

Information You Provide

Account Information: Name, email address, phone number, password, profile photo
Profile Information: Date of birth, gender, bio, interests
Address Information: Home address, destination addresses (for transportation requests)
Content: Photos, comments, messages, and other content you post
Communications: Information you provide when contacting support

Information Collected Automatically

Device Information: Browser type, operating system, device identifiers
Usage Information: Pages visited, features used, time spent on platform
Location Information: General location based on IP address; precise location when you provide an address, and — only if you choose it, each time — your device's current location when you ask for a driving-time estimate
Cookies: Session cookies to maintain your login state and preferences
Fonts and shared code libraries: Some pages load fonts and common code libraries from Google Fonts, Cloudflare's cdnjs, jsDelivr and Tailwind's CDN. Those companies receive your IP address and which page asked for the file. We receive nothing back from them, and none of it is used to recognise or follow you.

2. How We Use Your Information

We use your information to:

Create and manage your account
Facilitate connections between neighbors, volunteers, and advocates
Send notifications about visits, requests, events, and account activity
Verify your identity (phone verification via SMS)
Respond to your inquiries and support requests
Detect, prevent, and address fraud, abuse, or security issues

We share your information only in the following circumstances:

With Other Users

Your profile information, photos, and activity are visible to other members of your Circles as necessary for the platform to function. You control some visibility settings (e.g., birthday sharing, address visibility).

Other Companies Involved in Running Neighborly Circle

Parts of Neighborly Circle are run with the help of other companies. Each receives only what its particular job needs.

Resend delivers the email Neighborly Circle sends — invitations, notifications about requests and Gatherings, verification codes and reminders. Resend receives your email address, the full contents of those messages, and reports back whether each one was delivered or bounced.
Some of those messages contain an exact address. When you are helping with a request, your notification includes the same location the request page shows you — which, once you are involved, is the exact address. A notification to someone not involved shows only the town. Either way, the message passes through Resend.
Amazon Web Services (AWS) runs the servers and stores the photos and images people upload. Those files are held in private storage: they are not publicly reachable, and they are delivered only through Neighborly Circle, which checks that you are allowed to see a particular image before sending it to you.
Stripe handles Circle subscriptions, on our website only — the app does not handle subscriptions. We send Stripe the billing contact's email address and the Circle's name so the subscription can be identified. Card details are entered on Stripe's own pages and never reach our servers.
Vonage sends the SMS code when you verify a phone number, and receives the number you entered.

Maps, Addresses and Driving Times (Google)

We use Google for four things. Where your information goes depends on which one, and on whether you are using the website or the app.

Suggesting a place as you type. On most website pages with an address or venue field, Google's suggestions run inside your browser, so Google receives what you type, as you type it, together with your IP address. In the app, the same suggestion request goes through our servers, so Google sees our server rather than you.
Confirming the place you picked. Once you choose a suggestion, we check it with Google from our servers — on both the website and the app — so that what we save is a place Google recognises rather than a line of text.
Showing a map. A few pages display a Google map: the Circle discovery map, a Circle's own map, and the area an organizer draws. Loading a map tells Google your IP address and which area you are looking at. It does not send anything you type — the boundary page has no address field at all.
Working out where a Circle is. When an organizer draws their Circle's area, we send the coordinates of that area to Google from our servers to find the time zone and suggest nearby towns. These are coordinates of a neighbourhood, not of anyone's home.
Estimating a driving time, when a volunteer asks for one. This request is made from our servers, on both the website and the app. When someone asks how long a drive would take, we send Google the location of the request and the starting point that person chose. Google receives both locations. We show only a broad time range, and we do not store what Google returns.

Google's use of all of the above is governed by the Google Maps Platform Terms of Service and the Google Privacy Policy.

For Legal Reasons

We may disclose information if required by law, legal process, or government request, or to protect the rights, property, or safety of Neighborly Circle, our users, or others.

4. Data Retention

We retain your information for as long as:

Your account is active
Needed to provide services to you
Required by law or for legitimate business purposes

When you delete your account or request data deletion, we will delete or anonymize your personal information within 30 days, except where retention is required by law.

Logs

Application logs record faults so that we can fix them, and are kept for 14 days. They record errors rather than activity: a failed search does not record what was searched for, and a map request does not record the area viewed. One case is worth naming plainly — if Google's time-zone lookup fails while a Circle is being set up, the error we record includes the coordinates of that Circle's area.
Background job output is kept for 14 days. Some work happens after you have moved on — sending an email, preparing a reminder — and our servers record which of those ran and whether any failed.
Web-server logs are separate, and record each request our servers receive: the IP address it came from, the address requested — including anything after the ?, which can include text typed into a venue search or the part of a map being browsed — which page referred you, and your browser's identification. These are kept for 14 days and then deleted.

5. Your Rights and Choices

Access and Portability

You can request a copy of your personal data by contacting us at support@neighborlycircle.com.

Correction

You can update most of your information directly in your profile settings. For other corrections, contact us.

Deletion

You can request deletion of your account and personal data by contacting us at support@neighborlycircle.com. Some information may be retained as required by law or for legitimate business purposes.

Notification Preferences

You can manage your email and in-app notification preferences in your account settings.

Cookies

We use essential cookies to maintain your session and preferences. You can disable cookies in your browser, but this may affect platform functionality.

6. Data Security

We implement appropriate technical and organizational measures to protect your personal information, including encryption in transit (HTTPS) and at rest, secure password hashing, and access controls. However, no method of transmission or storage is 100% secure.

7. International Data Transfers

Your information may be transferred to and processed in the United States, where our servers are located. By using the platform, you consent to this transfer.

8. Children's Privacy

Neighborly Circle is not intended for users under 18 years of age. We do not knowingly collect personal information from minors. If we learn that we have collected information from a minor, we will delete it promptly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the new policy on this page and updating the effective date. Your continued use of the platform after changes constitutes acceptance.
